BOOKKEEPER AND FINANCIAL ASSISTANT TO THE BUSINESS MANAGER (FULL TIME)

St John’s D.S.G., established in 1897 by the Sisters of St John the Divine, is situated in Pietermaritzburg, KwaZulu-Natal. It is a leading Anglican, independent, day and boarding school for 500 girls (Grades RR – 12), and is a member of the Independent Schools’ Association of Southern Africa. The successful applicant should:

First and foremost the incumbent is expected to uphold the values and ethos of St John’s D.S.G.; to assist the Business Manager with a wide range of financial functions including the preparation of monthly management accounts, creditors reconciliations and payments,  the year-end audit process and the maintenance in up-to-date manner of all audit and financial administration files. Furthermore, the incumbent will be required to assist with the management of the Business Manager’s diary and other financial and administrative support functions.

💛 The weekly reconciliation of all creditor ledgers and the monthly reconciliation of all creditor            statements to ledgers.

💛Loading of all creditor payments in the bank.

💛Completion of all creditor vendor application forms.

💛Filing of all creditor payments.

Competencies:

💛A proven working knowledge of Sage Pastel and the Business Intelligence Centre module.

💛A proven working knowledge of MS Office (Word, Excel, PowerPoint) at an intermediate or advanced level.

💛Must adhere to deadlines; must be flexible in assisting where needed within the Finance department; must demonstrate keen attention to detail; must understand budgets and the income and expense cycles of a school.

Key Responsibilities (KPA’s of the Job):

💛Monthly analysis and review of income statements for completion of expense accounting.

💛Reconciliation of all balance sheet accounts.

💛Preparation of monthly audit files for review by the Business Manager.

💛Preparation of the monthly BIC management pack for review by the Business Manager.

💛Monthly budget variance analysis reporting for the Business Manager.

💛Preparation and distribution of monthly budget reports for staff.

💛Assistance with any other reconciliations required and directed by the Business Manager.

💛Monthly maintenance and reconciliation of the FAR. Monthly depreciation reports and journals.

💛Annual audit with various departments of fixed assets.

💛Reconciliation of all balance sheet accounts.

💛Preparation of audit files.

💛Ordering of stationery and sundries for the Finance Office.

💛Assistance with all insurance-related administration for the School.

💛Managing the diary of the Business Manager.

💛Assisting with any financial or administrative support functions as directed by the Business Manager. In this regard, the incumbent must be flexible and willing to take on a variety of tasks.

💛Minute all weekly Finance meetings. Minutes to be forwarded to Finance staff within 24 hours of the meeting.

Remuneration:

The salary will be negotiated during the selection process. No indication of the salary can be given telephonically.
